Documentation / Overview

Quick start (5 minutes)

Upload your first file and find it with AI search.

This walkthrough takes you from an empty organization to a document you can find by asking a question. It uses the web application only; no code is required.

Before you start
You need a user in an organization and a positive credit balance. New organizations receive free starter credits; you can check the balance on the Dashboard (the first item in the left menu).

1. Review your organization settings#

  1. Open Initial Setup. Click Admin in the left menu, then Organization Management → Initial Setup.
  2. Name your organization. Enter the organization name and click Save. The same card shows your API key, API secret and, once it is provisioned, your document capture email.
  3. Check the defaults. Each setting (versioning, duplicate handling, automatic splitting, document type detection …) has an explanation you can expand. The defaults suit most organizations; see Organization settings for details.

2. Upload a document#

  1. Open Document upload from the left menu.
  2. Add files. Drag files onto the drop area or click Select files. You can queue many files at once; use Clear to start over.
  3. Click Upload. A progress panel follows the upload while you keep working in other pages.
No sample at hand?
Any invoice, purchase order or bank statement PDF works well. Bundled PDFs, for example an order followed by its invoice, are split automatically.

3. Watch it being processed#

Open Documents. The Status column shows where each file is in the pipeline. Background tasks run every few seconds, so a typical document moves from Waiting for pre processing to Indexed and then Searchable within a minute or two. Click the refresh icon above the grid to update it.

Once the document has a Type (detected automatically, or set by right-clicking the row and choosing Document type), its fields are extracted to JSON. Right-click the row and choose View → Json to see them, or View → Original to preview the file.

4. Find it again#

  1. Quick search: type a word from the document into the search box in the header and press the search button. The drop-down next to it switches between keyword, semantic and AI search.
  2. Ask a question: open Search, choose the document type, and write what you are looking for, for example "purchase orders from last month over 1,000 EUR". Click Search.
  3. Inspect the query: the OpenSearch query that AI generated appears on the right. You can refine it with the query builder and run it again.

5. Ask AI about the document#

On the Documents page, right-click a row and choose Docuflow AI functions. Pick Summarize selected document(s) (or type your own question) and click Process. The answer can be copied or downloaded. Select two rows and choose Compare selected to get a side-by-side difference report.
