Credits & billing

How credits are earned, spent and topped up.

docuflow-ai is pay-as-you-go. AI processing and document storage draw from your organization's credit balance; everything else (uploading, keyword and semantic search, browsing and administration) is free.

Getting credits#

  • Welcome credits: every new organization receives 100 free credits.
  • Buying credits: open Admin → Organization Management → Billing → Credit purchase, enter the amount (minimum 100) and click Buy credits. Payment is handled securely by Stripe; the page shows the price before you pay.
  • Price: 1 USD buys 10 credits.

Your current balance is always visible on the Dashboard.

What costs credits#

AI operations are charged by processing time: one base unit is one second. Interactive requests (high priority) cost slightly more than background work (low priority) because they are answered first. Storage is charged daily by size: one base unit is one megabyte.

The table shows the default rates. The current rates are listed under Admin → System administration → Transaction Types.

Worked example#

A 3-page bundled PDF of 400 KB takes 12 seconds to split in the background and 4 seconds to OCR per piece (two pieces):

Split12 s × 0.0150.18 credits
OCR2 × 4 s × 0.0150.12 credits
Storage0.4 MB × 0.04, per day0.016 credits / day
First day total≈ 0.32 credits (≈ 3 US cents)
Keeping storage costs down
Set StoreDocuments = N to delete files once processing is finished, and KeepOriginalAfterSplit = N to drop bundled originals after splitting.

Low balance and auto charge#

When the balance drops to the low-credit threshold (10 credits by default):

  • With AutoChargeWhenLowCredit = Y, your saved card is charged automatically for the amount in AutoChargeAmount, so processing never stops.
  • With AutoChargeWhenLowCredit = N (default), nothing is charged; AI operations stop once credits run out and resume when you buy more.

Both settings are on the Initial Setup page.

Transaction history#

Billing → Transactions lists every credit movement: purchases, welcome credits and each individual charge with its operation, amount and description.
